Privacy Statement
INTRODUCTION
This privacy policy sets out how Portstewart Golf Club (here after called the
Club) use and protect the information you provide to the Club in connection to
your relationship and business activities with the Club.
Your privacy is of the highest importance to the Club and it will never release
your personal details to any third party without your express consent. In this
regard the Club manages customer data in full compliance with the General
Data Protection Regulations (GDPR) effective from 25th May 2018.
SECURITY
All information is held on secure servers and documentation is kept within
locked cabinets and storage. The Club complies fully with all applicable Data
Protection and Consumer Regulations.
DATA HELD
The following information is recorded when your relationship with the Club
commences; this may be as a member, supplier, visitor, tour/travel operator or
as a stakeholder in general. As part of the process and to communicate with
you, it is necessary for the Club to hold the following details as applicable
according to your relationship with the Club:
Full name including titles
Postal/residential/business address (actual and correspondence)
Phone numbers Landline, mobile (personal and work), fax number
Email address
Date of birth and gender to determine membership classifications
Accounts information
Golf handicap and competition results held on our handicap platform
Any information pertaining to specialised services to comply with Club
policy (for example, eligibility to operate a golf buggy including medical
records, insurance details etc)
Member volunteering records (related to competitions/events;
children’s activities and safeguarding information and checks)
DATA RETENTION PERIOD
Membership information will be retained by the Club for a period of 3 years
from the date of resignation. After which time it will be securely destroyed.
Contact information will be deleted from mailing lists and email contact lists
within 40 days of the date of resignation.
Business records will be retained for a period of 7 years.
DATA ACCURACY AND DURATION
It is essential for the Club to maintain the data held is as accurate as possible
and it is not retained longer than necessary to comply with the Club’s
accounting and regulatory obligations. If your details or circumstances change
in relation to the information held by the Club please write to the Club at

JUNIORS (Under 18’s)
Under GDPR, children are not permitted to give consent to Data Processing.
A child’s Parent or Guardian must give consent on their behalf.
In addition, Parents or Guardians will be required to provide verification of a
child’s age.
All correspondence will be issued c/o the child’s Parent or Guardian.
DATA BREACHES
If a breach in personal data occurs an assessment will take place to establish
the likelihood and severity of the resulting risk to a stakeholder’s rights and
freedoms. If it is likely that there will be a risk, Portstewart Golf Club will notify
the Information Commissions Office within 72 hours.
